Add and set up quote builder

Learn how to build customized, accurate quotes with PandaDoc’s quote builder.

Our quote builder block makes it easy to tailor quotes to your prospects' needs. Make inconsistencies and inaccuracies a thing of the past by empowering your sales team to create top-quality quotes and close more deals.

Note: For the smoothest experience, we suggest adding no more than 100 products per quote builder block. Performance and stability may become compromised if a quote builder contains over 100 products. You can add a maximum of 500 products per quote builder.

Add and set up a quote builder block

Note: Only account owners and users with a Manager or Admin role can add a quote builder block.

Tip: We suggest adding quotes on the template level so your sales team will be able to use them to create documents (either by using an integration or within PandaDoc).

To start, add a quote builder block to your template, then click on it to set it up. To add the block, select the blue quick-add line between content blocks, then select Quote builder from the dropdown; alternately, you can drag and drop the block from the content blocks panel on the right.

In templates and documents, quote builder's currency depends on the document value currency. When you add content library items, the quote builder block will inherit the default workspace currency.

Note: The document value currency also determines the currency for conditional approvals.

Add, reorder, and delete products

You can add products from the product catalog or create custom products. To add a product, click +Product. To add a product from the catalog, click +Product from catalog.

Note: You can add up to 500 products per quote builder block.

To reorder products, click and hold a product row, then drag it to the new position. To delete a product, hover over the product row and select the delete icon.

To move a product to a different section, hover over the product row and select the move icon, then select the section you want to move the product to.

Manage quote builder columns

You can add, rename, reorder, and delete columns. To add a column, click Add column. Scroll through or search for available columns and click to add them. To rename a column, double-click the column name. To reorder columns, click and hold a column header, then drag it to the new position. To delete a column, hover over the column header and select the delete icon.

Note: The Name and Total columns cannot be removed from the table.

Note: If you add more than one line item discount, any of them are applied to the price multiplied by QTY. If this calculation logic doesn't correspond to your business needs, please leave feedback.

Locking columns

You can lock a column to prevent users with a Member role from editing it. To lock a column, hover over the column header, select the lock icon, then toggle on the Lock for Members switch.

Note: Members cannot edit locked columns, but they can still use the data in the locked columns for calculations and formulas.

Rename quote builder sections and columns

To rename sections and columns, double-click the name and start typing. To add a new section, click +New section. To delete a section, hover over the section name and select the delete icon.

Customize footer

You can add a text message to the footer of your quote builder block by toggling the Show footer text switch. You can also add a signature to the footer by toggling the Show footer signature switch.

Enable recipient options

You can give your customers more choices by making products in your quote optional and product quantity customizable. To learn more, see Enabling recipient options.

Discounts, taxes, and fees

You can add discounts, taxes, and fees to the entire quote or to individual sections and products. To learn more, see Quote builder discounts, taxes, and fees.

Collect recurring payments

You can collect recurring payments via Stripe. Here's how to do it:

  1. Add a product with a recurring price to the product catalog and then select it in your quote. Available billing period options are weekly, monthly, quarterly, and annually. Click here to learn how to add recurring prices to the product catalog.

  3. When creating a document with a quote builder block, select the payment option and then select the Stripe payment method.

Import product data from a CRM

If you use a CRM, you can import product data from it to populate your quote. To learn more, see Map products into quote sections.

Quote builder design

To access the design settings, click on the quote builder block, then click Edit quote, and select Design at the top of the page. Learn more about quote builder design options here.

Can I add multiple quote builder blocks to a document?

Yes, you can add multiple quote builder blocks to a document. Each block is independent and has its own products, columns, and settings.

Can I add a quote builder block to a content library item?

Yes, you can add a quote builder block to a content library item. When you add the content library item to a document or template, the quote builder block will be included.
