Note: Field Suggestions works on uploaded .pdf and .docx files. It isn't available for documents created in the PandaDoc editor.
When you upload a file, PandaDoc finds the places where fields are likely needed and shows them as suggestions on the page. You decide which ones to keep. Nothing is added to your document without your approval.
How PandaDoc finds suggestions
PandaDoc checks your file in this order and uses the first source that applies:
Field tags. If your file contains field tags, PandaDoc suggests a field for each tag.
PDF form fields. If your PDF has fillable form fields, PandaDoc suggests a matching field for each one.
Documents you've sent before. If the file looks like a document you've already sent from PandaDoc, PandaDoc suggests the same fields in the same places as last time.
Document layout. For all other files, PandaDoc looks for places that usually need a signature or a date and suggests only those two field types. You can add any other fields yourself.
Note: Suggestions are a starting point. Check each one before you send, especially field type and recipient.
Review and add suggested fields
Upload your .pdf or .docx file to create a template or a document and select its preview on the left side of the screen to open the Editor.
Suggested fields appear on the page as dashed outlines. A bar at the bottom of the page shows Review [number] field suggestions, Hide all and Add all fields.
Hover over a suggestion to see its options. Select the field type to change it, select ✓ to accept, or select ✕ to reject. To accept a suggestion quickly, hold Shift and click it.
To accept every suggestion at once, select Add all fields.
Accepted suggestions become regular fields. Assign them to a recipient, move or resize them as needed.
Send your document when you're ready.
Note: You don't have to act on every suggestion. Any suggestions you leave out are not added to the document, and you can send it at any time.
Note: If you upload a file as a template, review the suggestions in the template before you create documents from it. Suggestions you don't accept in the template are lost and won't appear in documents created from it.
Field Snapping
If you prefer to drag fields from the sidebar yourself, Field Snapping helps you place them. When you drop a field to a spot PandaDoc has detected, the field automatically resizes and aligns to fit it. This works for all field types.
Hide or turn off Field Suggestions
In one document: select Hide all in the bar at the bottom of the page, or select Hide field suggestions under More actions in the Add fillable fields panel. To show them again, select Review field suggestions in the same place.
Turn suggestions off: in the editor, open the View menu and turn off Show field suggestions. Turn it back on in the same place.
