Where to find it
Go to Settings in your PandaDoc account.
Select Data privacy settings.
Note: Only account admins can change these settings. Other users can view the page but cannot make changes.
AI feature settings
These settings control which categories of AI processing are active for your workspace. There are two settings:
On-premises data processing
Controls AI features that run on PandaDoc's own infrastructure. When enabled, this powers:
Document-to-markdown conversion (OCR)
Document classification
Turning this off disables these features for your entire workspace.
Cloud services with third-party providers
Controls AI features powered by external cloud providers. When enabled, this powers:
Document summarisation
Metadata extraction
AI Assistant (and all AI Assistant entry points)
AI Email Drafting
Turning this off disables all of these features and automatically uninstalls the AI Assistant extension from your workspace. Re-enabling this setting will reinstall the extension.
Note: A master on/off switch sits above both settings. Turning the master setting off disables all AI features across your workspace regardless of the individual settings below it.
AI training settings
Third-party AI training
This setting controls whether PandaDoc can use your content to train third-party AI models.
Note: This setting is off by default for all accounts. PandaDoc does not currently use customer content to train third-party AI models, and this setting is visible so you can see and confirm that status at any time.
Turning this setting on or off has no effect on any AI features in your account — it only governs whether your data could be used in third-party AI model training.
Note: "Training" here means using your data as part of an ML model training pipeline — not routine product improvement or usage analysis, which is covered separately under our standard terms.
On-premises AI training
This setting is not configurable from the Data privacy settings page. If you have specific requirements around on-premises training — for example, due to regional compliance requirements — contact your Customer Success Manager or our Support team. They can configure this for your account.
Default states and special cases
All accounts: AI features are enabled by default. Third-party AI training is off by default.
HIPAA accounts: All AI settings default to off. HIPAA-flagged accounts can choose to enable AI features if they wish.
What happens when you disable AI settings
When AI settings are disabled, AI features will no longer be available in your account. No existing data is transferred or processed for AI purposes going forward. This includes:
Document markdown conversions
AI-generated summaries
AI-extracted metadata
AI Assistant session data
Note: Content your team created using AI features — such as documents written or edited with AI assistance — will not be deleted.
Note: When AI settings are disabled, you may still see the AI icon (✦) appear next to field suggestions. This is because field detection uses standard machine learning for object recognition and is not controlled by the AI privacy settings above.
