Where to find it
Go to Settings in your PandaDoc account.
Select Data privacy settings.
Note: Only account admins can change these settings. Other users can view the page but cannot make changes.
Enable use of AI
This is the first control on the page. It turns AI features on or off for your entire workspace. When it's off, all AI features are disabled, regardless of the On-premises AI and Third-party AI providers settings below it.
On-premises AI
Controls AI features that run on PandaDoc's own infrastructure. When enabled, this powers:
Document-to-markdown conversion (OCR) — OCR also powers document content search. PandaDoc uses OCR to extract text from documents and make it searchable. Documents processed before this setting was disabled remain searchable; documents uploaded after it is disabled will not have their content indexed.
Document classification
Turning this off disables these features for your entire workspace.
Note: Disabling On-premises AI affects document content search. Only documents that have already been OCR-processed will remain searchable. New documents uploaded while this setting is off will not be indexed for content search. If you later re-enable this setting, previously unprocessed documents will need to be reprocessed.
Third-party AI providers
Controls AI features powered by external cloud providers. When enabled, this powers:
Document summarisation
Metadata extraction
AI Assistant (and all AI Assistant entry points)
AI Email Drafting
Turning this off disables all of these features for your workspace.
Default states and special cases
All accounts: AI features are enabled by default.
HIPAA accounts: All AI settings default to off. HIPAA-flagged accounts can choose to enable AI features if they wish.
What happens when you disable AI settings
When AI settings are disabled, AI features will no longer be available in your account. No existing data is transferred or processed for AI purposes going forward. This includes:
Document markdown conversions
AI-generated summaries
AI-extracted metadata
AI Assistant session data
Note: Content your team created using AI features — such as documents written or edited with AI assistance — will not be deleted.
Note: When AI settings are disabled, you may still see the AI icon (✦) appear next to field suggestions. This is because field detection uses standard machine learning for object recognition and is not controlled by the AI privacy settings above.
