PandaDoc allows you to work with PDFs by overlaying text, images, fields, and other elements directly onto the document. While PDFs themselves are static and uneditable, you can use this feature to add missing details, correct information, or collect inputs without modifying the original file.
When to use this feature
Fixing small errors in an uploaded PDF
Adding fillable fields for customers to complete
Overlaying comments or additional information
Enhancing static PDFs with images or videos
How to overlay text and fields on a PDF
Step 1: Upload your PDF
Open a new or existing document in PandaDoc.
Hover over the grey dot between pages.
Click the blue ‘+’ button and select Upload file to import your PDF.
Step 2: Add text overlays
Click Text from the toolbar and drag it onto the PDF.
Type your correction or additional content.
Adjust the font style and size to match the document.
Change the background color of the text block to match the page (if covering existing text).
Tip: Use the alignment and positioning tools to place text accurately.
Step 3: Add fillable fields (optional)
If you need to collect information from customers:
Click Fields from the toolbar.
Drag text fields, signature fields, or dropdowns onto the PDF.
Assign recipients to ensure they complete the necessary sections.
Step 4: Save and share your document
Once you’ve made the necessary changes:
Preview the document to ensure alignment.
Send it for signature or approval as needed.
Download or store the updated document in PandaDoc.
Example: Fixing a typo in a PDF
Imagine you uploaded a contract, but a pricing detail is incorrect. Instead of re-uploading a corrected file:
Drag a text block over the mistake.
Type the corrected number.
Adjust the background color to blend in seamlessly.
