Send and sign a document (new experience)

Send documents via email, text (SMS), or link — or collect signatures in person. Track recipient interactions and download signed PDFs with a certificate.

Note: A maximum of 50 documents can be sent during the trial.

Choose a delivery method

PandaDoc supports four delivery methods. The options you see depend on the default delivery method set by your workspace admin in document settings.

  1. Email — Your recipient gets an email from PandaDoc with a link to the document. You can include a custom message.

  2. Text (SMS) — Your recipient gets a text with a link to the document. Custom messages aren't supported for SMS. See Send via text (SMS) for the full guide.

  3. Link — Copy a shareable link and send it through any channel you prefer. See Send via link for the full guide.

  4. Sign in person — Your recipient signs on your device.

Note: If you don't see the link or sign-in-person options, they may be disabled for your workspace. Check Extensions or ask your admin.

Send a document

Once you've reviewed the document and confirmed that all fields are assigned to the correct recipients and all variables are filled in, select Review and send in the top right corner.

Note: You can also share the document via a direct link by selecting the link icon next to Review and send.

To change the delivery method for a specific recipient: select the horizontal ellipsis (three dots) next to the recipient > select Delivery method > choose from the dropdown.

Send via email

Select Review and send in the top right corner to open the send panel.

  1. Edit the email subject if needed. By default it reads: "[Document sender] sent you '[Document name]'".

  2. Add a personalized message, or use the AI draft feature to generate one in your preferred tone.

  3. Review the document settings before sending:

  4. Select Send.

You can also send a document on behalf of a team member and add recipients in CC.

Note: During a trial, you can send a maximum of 50 documents.

After the document is sent

Track recipient activity

On the right panel, you'll see the list of recipients and their current status. To see detailed engagement data, select the horizontal ellipsis (three dots) next to a recipient > select Recipient analytics.

You'll also get email notifications as recipients view and complete the document. Learn more about notifications.

Note: The document status changes to 'Viewed' only after a recipient other than the document owner opens it.

Complete your own fields

If you have fields assigned to yourself, open the document and fill them in to complete your part.

Signature сertificate

Once all participants have signed, you can download a signed PDF copy. The PDF includes a Signature Certificate on the last page — confirming the document was accepted and signed.

You can also set up an automatic email notification to send the signed PDF to all recipients automatically.

The certificate includes:

  • Document REF#,

  • Signers' names,

  • Signers' signatures/initials,

  • Verified email addresses,

  • Signers' IP addresses and location,

  • Timestamps for when the document was sent, viewed, and completed.

Note: Signature certificate isn't generated when:

  1. The document has been completed manually

  2. The document doesn't contain an Initials or Signature field.

Troubleshooting: Broken signature images in Firefox

If signature fields appear as broken or empty boxes and you're using Firefox, the Resist Fingerprinting privacy setting is likely the cause. This feature reduces browser tracking but can interfere with how signature images display.

What you'll see: Firefox prompts you to allow certain elements (like signatures). If you block or miss the prompt, signatures show as shaded or empty boxes.

How to fix it:

  1. Refresh the page and allow the image permission prompt if it appears.

  2. If no prompt appears:

    • Type about:config in the Firefox address bar.

    • Search for privacy.resistFingerprinting.

    • If the value is true, double-click it to set it to false.

Alternatively, open the document in Chrome, Safari, or Edge — this issue doesn't affect other browsers.
