Protect documents with recipient verification

This feature helps you easily set up a unique passcode or an SMS code for each document recipient. Your recipients will need to pass verification to view or sign the document.

How to set up verification methods in workspace settings
Note:
Only the owner of the account and users with admin permission to access workspace settings can set up recipient verification methods per workspace. By default, both Passcode and Text (SMS) verification methods are enabled.Start by going to Settings > Settings. Check the checkbox of the verification method you need and uncheck the checkbox of the verification method you'd like to disable in documents and select Save changes.
Setting up a recipient verification in a document
Note:
You can set up recipient verification only in a document. You can't set up recipient verification in a template or a form.There are two ways you can enable recipient verification:
- When creating a document from scratch or from a template
- In a document
Now let's dig deeper into each.
Setting up recipient verification when generating a new document
Start by selecting Create from the Document list or New document > +Document on the Dashboard.


Select an existing template or select +Blank to create a new document from scratch. If you have a PDF or .docx file you can drag and drop it to the upload area.
Now, assign a recipient and switch the toggle for ‘Recipient verification’ under the recipient's email.
Once you turn the toggle on, you can select the verification method, set up a passcode, or add a telephone number for Text (SMS) verification, and select verification time - before opening the document or before signing.
Note:
The verification time option is only available for the recipients with at least one field assigned to them (signers).This method allows you to easily set up recipient verification for multiple recipients.
Once you've set up recipient verification, select Continue. Finish setting up your document, then send it out.
Setting up recipient verification in a created document
Note:
You can set up recipient verification on a document in any status.You can set up recipient verification in a created document if you select Skip during the document generation step or if you want to use an existing draft document.
Start by opening the document. Next, click the Manage button at the top of the page or select Manage recipients tab on the right. Then, click the recipient's name to set up verification and switch on the toggle Recipient verification.


Once you turn the toggle on, you can select the verification method.
For passcode verification, set up a passcode, and select verification time (before opening a document/before signing a document). Select Set up passcode once done. Now you can easily copy the passcode and share it later with your recipient.


For text (SMS) verification, add a telephone number, and select verification time (before opening a document/before signing a document). Select Set up verification code once done.
Note:

Recipient view
Once you send your document, recipients will be unable to open (if verification time is "Before opening a document") or finalize the document (if verification time is "Before signing a document") without passing the verification you set up.
Passcode verification
When a recipient opens the document, they’ll see a popup and will need to enter the passcode to view it if the verification time is"Before opening a document".
If the verification time is "Before signing a document", the recipient will be able to view and fill out the fields in the document, but they will be unable to finalize it until they enter a correct passcode.


Once they enter the correct passcode, they can access/finalize the document.
Text (SMS) verification
When a recipient opens the document if the verification time is"Before opening a document", they’ll see a popup and will need to select Verify now to receive and submit an SMS code to view it.
If the verification time is "Before signing a document", the recipient will be able to view and fill out the fields in the document, but they will be unable to finalize it until they enter a correct SMS code.


Passcode/SMS code Expiration Notice
If the recipient enters an incorrect passcode three times, they’ll need to contact the document sender for a new code.


If the recipient enters an incorrect SMS code three times, they’ll need to contact the document sender to change their telephone number or wait 10 minutes to resend a code.
