How to set up verification methods in workspace settings

Note: Only account owners and users with admin permission allowing access to workspace settings can set up recipient verification methods in a workspace. By default, all verification methods are enabled.

Click on the gear icon in the lower-left corner and go to Recipient experience settings. Select which verification method you'd like to use, deselect the verification method you'd like to disable in documents, then select Save changes.

Setting up recipient verification in a document

Note: You can set up identity verification only in a document — not in a template or form. You can automate setting up identity verification via API.

You can apply Passcode verification from the document editor or the send dialog — both open the same E-signature and verification panel.

From the document editor

Note: You can set up recipient verification on a document in any status.

  1. Open your document in the editor.

  2. Go to FileE-signature and verification.

  3. Under Identity verification, select Passcode from the dropdown.

  4. Choose when the verification triggers:
    - Ask before opening a document — the recipient must verify before they can view the document
    - Ask before signing a document — the recipient must verify before they can finalize their signature

    Note: The verification time option is only available for recipients who have at least one field assigned to them (signers).

  5. Now you can create a passcode, easily copy it, and share it with your recipient.

    Important: PandaDoc does not send the passcode to recipients automatically. Once you create a passcode, you must share it with your recipient directly (e.g., via email, chat, or another secure channel).

  6. Select Save changes.

From the send step

  1. In the Send document step, select the three-dot menu next to the recipient's name.

  2. Select E-signature and verification.

  3. Under Identity verification, select Passcode and choose a timing option.
    - Ask before opening a document — the recipient must verify before they can view the document
    - Ask before signing a document — the recipient must verify before they can finalize their signature

    Note: The verification time option is only available for recipients who have at least one field assigned to them (signers).

  4. Now you can create a passcode, easily copy it, and share it with your recipient.

  5. Select Done at the bottom right corner.

  6. Finish setting up your document, then send it!

How recipients receive the passcode

  • PandaDoc does not automatically send the passcode to recipients.

  • After creating a passcode, copy it and send it to your recipient via your preferred secure channel.

  • We recommend avoiding insecure methods (e.g., public chats) to keep the document protected.

Recipient view

To open or sign a document with passcode verification, the recipient must enter the code that you (the sender) have shared with them.

If the verification time is "Before opening a document," a recipient will be prompted to enter the correct passcode when they try to open the document.

If the verification time is "Before signing a document," the recipient will be able to view and fill out the fields in the document, but they'll be unable to finalize it until they enter the correct passcode.

Once the recipient enters the correct passcode, they'll be able to view and finalize the document.

If the recipient enters an incorrect passcode three times, they'll need to contact the document sender for a new code.

How to reset the recipient verification

  1. Start by opening the document with a set-up verification.

  2. Next, go to File menu → E-signature and verification.

  3. Enter new passcode in the respective section. The system will automatically save the changes. Copy the passcode, and share it with your recipient directly via email, chat, or another secure channel.
