ID Check verifies recipient identities using government IDs. Can be set it up before opening or signing documents in PandaDoc.

ID check uses advanced technology to ensure that the recipient's identity matches their government-issued identification. The verification process shares a balance with KBA (Knowledge-Based Authentication), so you can use the same verification balance for either method. However, unlike KBA, where verification is consumed when the quiz is generated, ID check deducts from your balance only upon successful verification.

Like other verification methods, ID check can be set up either before opening a document or before signing.

How to enable ID check in workspace settings

Customers with Business and Enterprise plan subscriptions will have the ‘Identity verification’ add-on and all available verification methods enabled by default.

Select your profile image at the bottom left corner to access Settings, then select Workspace defaults. From here, you can set up:

  • Default verification methods

  • Default verification time (before opening or before signing)

  • Available verification types

How to set up ID check for a recipient

Note: Make sure you purchase an ID check package before setting up Identity verification for your recipients.

There are three ways you can enable ID check:

  • While creating a document from scratch, or from a template

  • In a document

  • In the dialog before sending a document

Now let's dig deeper into each.

Setting up ID check in a newly created document

Start by selecting +Document from the Document list.

Select an existing template or +Blank to create a new document from scratch. If you have a PDF or .docx file, you can drag and drop it to the upload area.

Next, assign a recipient, then select the small arrow on the right to unfold recipient settings and select ID check from the ‘Identity verification’ dropdown.

Once selected, you can customize verification time — your choices are before opening a document, or before signing a document.

Note: The verification time option is only available for recipients who have at least one field assigned to them (signers).

Once you've set up identity verification, select Continue. Finish setting up your document, then send it!

Note: You can disable ID check or change the Identity verification method after the document is sent.

Setting up ID check in a previously created document

Note: You can set up Identity verification on a document in any status.

You can set up identity verification in a previously created document if you select Skip during the document generation step, or if you’d like to use an existing draft document.

Start by opening the document. Next, select the Manage button at the top of the page, or select the Manage recipients tab on the right and add your recipients.

Then, select the recipient's name and switch on the 'Identity verification' toggle.

Once you’ve switched on the toggle, you can select ID check as the verification method and then customize the verification time if needed – your choices are before opening a document, or before signing a document.

Note: The verification time option is only available for recipients who have at least one field assigned to them (signers).

Finish setting up your document, then send it!

Note: You can disable ID check or change the Identity verification method after sending the document.

Setting up ID check in the ‘Send document’ dialog

When you send documents via Email / Text(SMS) you can set up or/and customize ID check after you prepare your document and select Send.

In the ‘Send document’ dialog select ID check in the ‘Identity verification’ dropdown. Then customize the verification time if needed – your choices are before opening or signing a document.

Select Continue, finish setting up an email message for your recipient, and send your document.

Note: You can disable ID check or change the Identity verification method after the document is sent.

Recipient experience

As a document recipient, you may need to pass ID check before opening or signing the document.

  1. Enter Legal Name and Date of Birth:
    Enter their legal first and last name and date of birth. Your name must exactly match as it appears on your ID, as discrepancies will result in a failed verification.

  2. Select Issuing Country
    Select the country that issued your ID. We support IDs from 250 countries.

  1. Choose ID Type
    Based on the selected country, different ID types may be available. For instance, in the United States, supported ID types include:
    - Driver’s License
    - State ID
    - Passport
    - Passport Card
    - Permanent Resident Card
    - Non-citizen Travel Document
    - Visa
    - Work Permit

  2. Take a Photo of the ID
    You will be prompted to take a photo of your ID. Depending on the ID type, you may need to provide photos of one or both sides. You can either upload a photo or switch to another device to use a better camera.

  3. Selfie Verification
    You must take a selfie, ensuring your face is centred in the frame. You’ll be asked to turn your head slightly to the left and right, allowing us to compare the selfie with the photo on your ID.

  4. Verification Success
    Once the selfie and ID photo match and your identity is verified, you can proceed to view or sign the document.

Verification Evidence

Once a recipient completes ID check, the following information will be logged:

  • The latest activity and timeline of the document will reflect the verification.

  • The signing certificate will display key metadata about the verification, including:

    • Verified Name

    • Issuing Country

    • Type of Document (e.g., Passport, Driver’s License)

API Integration

ID check can be set up through the API. You can include ID check in a document creation request or apply it after the document is created.
