Profit and margin calculations in quote builder

Learn how quote builder calculates total cost, profit, and margin for your quotes.

Availability: Available to any account with access to Quotes or Pricing Tables.

Quote builder shows total cost, profit, and margin for each quote block and for the document as a whole, so you can see deal profitability at a glance before you send a document to a recipient.

Note: Profit and margin are calculated at the quote and document level only. They aren’t shown for individual product lines.

Where to find profit and margin

Profit and margin figures appear in two places:

  • The Total value section. To access the Total value settings select the amount number next to the Template/Document title:

  • View > Profit margin. You can find the View menu at the top panel under the template/document name:

Blocks are displayed in the order they appear in your document content.

How the calculation works

Revenue base

The starting point for profit and margin depends on how your quote is set up:

Quote type

Revenue base used

Quote with a Total Contract Value (TCV)

TCV

Quote with an unlimited subscription (no TCV)

Taxes

Taxes are excluded from profit and margin calculations at every level, including:

  • Line item taxes

  • Section taxes

  • Footer and quote-level taxes

Adding or changing a tax amount won’t affect the profit or margin figures — the calculation always uses pre-tax amounts as the revenue base.

Formulas

Profit = (Revenue base, excluding tax) − Total cost

Margin = (Profit ÷ Revenue excluding tax) × 100

Optional items

Unselected optional items aren’t included in cost, profit, or margin — only selected items count.

Negative values

If profit or margin is negative, the value displays in red so it’s easy to spot.

Multi-currency documents

If your document contains quote blocks in different currencies:

  • Only quote blocks that match the document currency are included in the document-level profit and margin totals.

  • Quote blocks in a different currency still display, but they’re marked with a visual indicator to show they’re excluded from the overall calculation.

  • No currency conversion is performed.

Tip: Your document currency is determined by the Grand total field in your document.

FAQ

I changed the tax on a line item. Why didn’t the margin change?

Taxes are excluded from the margin calculation. Profit and margin are always based on pre-tax revenue — only changes to price or cost affect the result.

One of my quote blocks isn’t counted in the document total. Why?

The quote block is likely in a different currency from the document currency. Look for the visual indicator on the block — it confirms the block is excluded from the document-level total.

A quote shows margin as 100%. What does that mean?

This appears when your products don’t have a cost assigned. With no cost, profit equals the full revenue amount, which gives a margin of 100%.

Why is the profit shown in red?

Red indicates a negative profit, meaning total cost exceeds revenue. Review your pricing or cost inputs to address the shortfall before sending.
