Using Smart Content rules with Quote Builder

Learn how to set up Smart Content rules that use Quote Builder blocks as a trigger source, so a template automatically shows the right content based on quote builder data.

Smart Content lets you build documents that automatically show or hide sections based on deal context — the products selected in a quote builder, CRM field values, custom data, and more.

Quote Builder blocks can now be used as a trigger source for Smart Content rules. Set up the rule once in a template, and every document created from it adapts automatically — without a sales rep needing to edit anything before sending.

How it works

A Smart Content rule connects a condition (based on a Quote field value) to a content library item (what gets shown or hidden).

When the condition is met — for example, a product is selected, or a CRM field matches a certain value — the mapped section appears automatically. When the condition is no longer met, the section hides.

Rules are evaluated:

  • When the document is opened

  • When a line item is selected or deselected

  • When an item is added or removed from the quote

  • When a change is undone or redone

How to set up a rule with a Quote block trigger

  1. In the Smart content block, select the Conditional tab, then click Set up conditional rules.

  2. Under 'Based on', search for and select the Quote block you want to use as the trigger — Quote entries appear in the list tagged 'Quote'.

  3. Under 'Condition 1', set the rule:

    • Select column — choose the field to check (for example Name, Description, Price, Quantity, or a custom field).

    • Choose an operator: equals, does not equal, contains, does not contain, is empty, is not empty.

    • Enter the value to match.

  4. Under 'Then show these items', click + Add item and choose the content from your Content Library that should appear when the condition is true.

  5. (Optional) Click + Add condition to add another rule (e.g. Condition 2). Each condition is its own if/then block — only the first one that matches fires.

  6. Under 'If no conditions are met', choose what happens when nothing matches (the default is 'Hide on sending').

  7. Click Save.

Note: The rule applies to all new documents created from this template going forward. Documents already created from the template aren't affected.

How rules behave

  • Multiple conditions on one section — if more than one condition is set on the same content section, only the first matching condition fires.

  • Multi-field conditions — if a rule requires multiple fields to match (for example, product = "Enterprise" AND region = "EU"), all conditions must be met by the same line item, not different items across the quote.

  • Typing in Qty or Unit Price fields — rules don't re-evaluate on every keystroke. A short delay is applied first, to avoid flickering.

  • Documents created from a CRM deal — when a document is created from a Salesforce or HubSpot deal with pre-filled Quote data, rules evaluate automatically the first time the sender opens the document. The correct content is already in place — no action needed.

  • While Quote data is loading — if Quote data hasn't fully loaded when the document opens, rules wait until it's ready before evaluating. There's no flash of incorrect content.

Warnings and error states

  • Deleted Quote field — if you delete a Quote field referenced by a rule, the affected content section resets to empty.

  • Deleted Quote block — deleting an entire Quote block resets all affected content sections to empty.

  • Duplicating a template — rules based on Quote data are automatically remapped to the correct block IDs in the new template. No manual fix is needed.

For sales reps

You don't need to configure anything. When you open a document built from a template with Smart Content rules:

  • If the Quote is pre-filled from your CRM, the right content sections are already visible.

  • If you select or deselect products in the Quote, content updates automatically.

  • If you add or remove line items, content updates automatically.

Just review the document and send when ready.

Frequently asked questions

Will my existing rules on Pricing Table blocks still work?

Yes. This update adds Quote blocks as a new trigger source. Existing Pricing Table rules aren't affected.

Will my existing "Quote total" condition still work?

Yes, the "Quote total" option in the rule configurator continues to work after this update.

I set up a rule on a Quote field, but the content isn't showing. What should I check?

  • Confirm the condition matches the actual field value in the Quote (check for exact spelling and case).

  • Check whether another condition earlier in the rule is firing first — only the first matching condition is used.

  • If the document was created before the rule was added, the rule won't apply to it. Create a new document from the template to test.

Can I target a specific row in the Quote with a rule?

No. Rules match if any line item in the Quote satisfies the condition, not a specific row by position.

What happens if the Quote field I used as a trigger is deleted?

You'll see a warning, and the linked content section resets to empty. Reconfigure the rule with a valid field.
