Note: The Related documents feature is available only if you have summary page enabled. Summary page is currently rolling out to gradually.
Related documents lets you connect documents that belong to the same deal or workflow — a proposal that becomes a contract, a contract that generates an invoice, a contract followed by a renewal. From the document summary page, you can create a new document with data pre-filled from the original and view the full chain of connected documents in one place.
Common use cases:
Create a quote based on a proposal
Convert a proposal into a contract
Generate an invoice from a proposal
Renew a subscription by sending a new contract
Create a related document
There are two ways to create a related document depending on where you are in PandaDoc.
From the document summary page
Use this after the source document has been sent.
Open the source document from your document list to go to its summary page.
In the right sidebar, find the Related documents section. Select Add related document (if no related documents exist yet) or the + button next to the Related documents heading.
Choose a template for the new document. PandaDoc pre-fills it with recipients, variables, quote and pricing table items, and integration data from the original.
Review the pre-filled recipients and make any changes needed, then select Edit document.
Review the document content, make any final edits, and send it or save it as a draft.
From a draft document
You can also create a related document directly from an open draft.
Open the draft document from your document list.
Select the vertical ellipsis (three dots) button at the top right of the editor and choose Add related document.
Choose a template, review the pre-filled content, and send or leave as a draft.
Note: The link between documents is established as soon as the related document is created — it doesn't need to be sent first. Clicking a related document in the list opens its summary page. If it's still a draft, clicking it opens it in the editor instead.
What gets pre-filled
When you create a related document, PandaDoc carries over the following from the source document.
Variables
All variable values from the source document are transferred into the new document. Source values fill matching variables in the target template, while any variables unique to the target template are left for you to fill in.
Recipients
Recipients are transferred and automatically assigned to matching roles in the target template. If the target template has roles that don't match the source document, recipients are still carried over — but you'll need to assign them to roles manually.
Quote and pricing table items
All line items from all quotes and pricing tables in the source document are transferred into the first quote or pricing table of the new document. If the target template already contains any of the same line items, those are deduplicated — they won't appear twice.
Important: All line items from all quotes and pricing tables in the source document are merged into the first quote or pricing table of the new document. If your source document has multiple quotes or pricing tables, review the new document carefully and adjust as needed before sending.
Integration data
If the source document is linked to a CRM integration, that integration data is carried over as-is — PandaDoc does not pull fresh data from the CRM at the time of transfer. You can use the Refresh data button to update CRM data in the new document. Because of this, you won't see the integration selection step during document creation.
Whether the new document is linked to the same integration depends on the template you choose:
If the target template supports the same integration as the source document, the new document is automatically linked to it.
If the target template doesn't support the same integration, no integration is linked — but you can connect it manually after the document is created.
Note: If the original document was created from a CRM, the new document is attached under the same record in the PandaDoc module. Exception: this does not apply to Pipedrive, Salesforce, and HubSpot.
To pull the latest data from your CRM after the document is created, use the Refresh Data option in the document editor.
Note: Field values are not carried over to the new document.
Unlink a document
If a document was linked by mistake or belongs in a different one, you can unlink it. Unlinking doesn’t delete either document — it removes the connection between them.
To unlink a document, select the Unlink button next to the document in the Related documents list.
