Smart content block. Pre-selected content

A smart content block allows you to pre-select content that other users on your account can add to a document.

Availability:

  • Pre-selected content: Business and Enterprise plans

  • Conditional content (rules based on variables, pricing tables or Quote builder), and inserting content library items via the API: Enterprise plan

Note: On the Business plan you can add a smart content block and choose which content library items users can insert. Setting up conditional rules requires the Enterprise plan.

A smart content block allows you to pre-select content that other users on your account can add to a document.

Want content library items added automatically based on variables, pricing table or quote data? That's conditional content, available on the Enterprise plan. See Smart content block. Conditional content.

Note: A smart content block can be added on the template level by any user in an Admin or Manager role.

Warning: Smart Content blocks cannot be added to cover pages or uploaded pages.

The flow is simple:

  1. A user in an Admin or a Manager role adds smart content blocks to a template, then specifies which type of content can be added as smart text

  2. Any user on the account with permission to view templates and content library items can then add content library items to a document from the pre-selected smart content

Note: You can add as many items as you need, but you can’t add more than 10 items at a time.

Additionally, you can select one of the following content requirements settings:

  • Required. With this option enabled, users will be unable to send a document unless its smart content blocks are filled with pre-selected items.

  • Optional. Allows users to either choose one of the pre-selected items or send a document without them.

  • Add automatically. With this option enabled, pre-selected content library items will be added automatically to the generated document.

By default, "Add automatically" setting is selected.

Smart content block isn't showing

If Smart content doesn't appear in your list of blocks, check the following:

  1. Your plan. The smart content block is available on Business and Enterprise plans.

  2. The Smart Content extension. The extension must be installed for your workspace. Only the account owner can install it:

    1. Go to Extensions in the left navigation.

    2. Find Smart Content under Content management, or search for it.

    3. If you have one workspace, select Install extension.

    4. If you have multiple workspaces, select Workspaces, choose the workspaces that should have access, then select Save changes.

  3. Your role. Only users with an Admin or Manager role can add a smart content block to a template.

  4. The page type. You can't add a smart content block to a cover page or an uploaded page. Add a blank page and place the block there.

Note: If no workspace is selected, the extension can be installed but not appear in the editor. Learn more in Working with Extensions.

If all of the above apply and you still can't see the block, contact our support team.

Tip:

To ensure that the documents generated from this template contain the most up-to-date versions of your content library items, you can utilize pre-selected smart content with the "Add automatically" content requirement setting. Documents created from this template prior to updating content library items won't be automatically updated.
