How to upload a document

Uploading a document and sending it for signature in PandaDoc is a straightforward process that streamlines your workflow. Whether you're starting from scratch or importing an existing file, PandaDoc offers intuitive tools to create, customize, and send documents efficiently. Here's a step-by-step guide to help you through the process.

1. Upload Your Document

Log in to your PandaDoc account and click on +Create new in the left panel, or navigate to the Documents app and select +Document.

2. Import File

Upload a file from your computer or import from cloud storage services like Google Drive, OneDrive, Box, or Dropbox.

Supported File Formats:

  • PDF (.pdf)

  • Microsoft Word (.docx)

  • Images (.png, .jpg, .jpeg)

3. Uploading a .doc/.docx/.pdf file

When uploading a .doc/.docx file, the system will ask you whether you want to make your file editable so that once uploaded, you can edit, copy, paste, and redesign content as if created in Pandadoc. Select the Make it editable option to proceed.

If you do not need to make any changes to the uploaded content in the PandaDoc editor, but to add fillable fields for your recipients only, you can Skip the file conversion.

Uploaded PDFs won't be editable within PandaDoc. You can upvote a feature request for this here. However, you can add content blocks and fields over your uneditable content.

4. Add recipients and fields

Click on the Invite button on the top right to add recipients who will fill out this field later.

After that, under "Fillable fields for", click on the field or drag and drop it to the place you need.

Note: A recipient becomes a signer once a field is assigned to them. Ensure all required fields are assigned; otherwise, you won't be able to send the document.

To add content blocks, simply drag and drop them into your document from the Blocks section.

If you need to upload content to an existing document, click on the '+' sign at the top of the page and choose the Upload file option.

Alternatively, click on the +Document option in the top left corner, and upload your file.

Once finished, send your document.

Common Upload Issues

If you encounter problems uploading your document, consider the following common issues:

  • Password protection: Ensure the document isn't password-protected.

  • File size and page limit: The file should not exceed 50 MB or 2000 pages.

  • Unsupported formats: Avoid using outdated file formats like .doc, .xls, or .ppt from Microsoft Office 95 or older.

  • Complex PDFs: PDFs with multiple layers can cause issues; consider flattening the PDF before uploading.
