Conditional fields functionality is a perfect way to help customers easily navigate through documents and see only specific fields they need to fill out based on the rules you set up.
Setting up conditional fields
Note:Conditional fields are not available in forms and content library items.
Start by opening a template or a document. Drag and drop a dropdown, a checkbox, or a radio buttons field and type values to the items in the field “Properties”.
Note:At this time you can only use the dropdown, checkbox, and radio buttons field to set up a rule.
Now, add all the necessary fields for every condition you want to set up, click the automation icon on the floating panel of the dropdown, or select +Add a rule on the right in the field “Properties”.
Once you click +Add a rule or Create a conditional rule button on the floating panel, you’ll see a new window to set up a condition.
Under If select an item you’ve added to your field and then click Select fields to link the fields in the document that will appear if a recipient chooses this item.
When all the fields you need for this condition are selected click Done.
Note:A maximum of 50 fields per condition can be selected. We suggest setting up no more than 100 conditions per rule.
Warning:Performance and stability may become compromised if a document contains over 300 fields.
Now you can add another condition and click Save rule to complete the setup and get back to the template/document.
Finally, you can make sure that all fields are assigned to recipients and send the document (you can only assign 1 recipient per 1 field with a conditional rule).
Now your recipients will see the fields depending on the option they select in the dropdown field.
How to modify a condition
If you’d like to edit your rule on a sent document, you’ll need to edit the document first. If your document is already in Draft status, click the field where you need to change the condition and select Edit rule on the floating panel (fields with a setup condition have a small indicator at the top right corner).
Once you’ve edited the condition you can click Save rule at the top right.
All the fields set up in a conditional rule are hidden for the recipients by default. A recipient will see the fields they need to fill out as soon as they select an item from a dropdown field with a conditional rule.
