Stripe payments in PandaDoc (new experience)

Use Stripe to request payments or collect card details for later charging, using any method set up in your Stripe account.

Availability: Starter, Business, and Enterprise plans

Note: Only Stripe is available as a payment gateway on the Starter plan.

With PandaDoc’s Stripe integration, you can collect payments directly from PandaDoc documents using any payment method enabled in your Stripe account. You can also use the Billing details field to collect card information and charge later.

Key things to know

  • The Stripe payment description will include the name of the PandaDoc document.

  • If a payment fails, the customer may briefly see a $1 charge. Learn more from Stripe Support.

  • PandaDoc transaction fee: $0.00 (subject to change).

  • Minimum charge: $0.50

  • One Stripe account can be connected to multiple PandaDoc workspaces — disconnecting it from one will disconnect it from all.

  • Multiple Stripe accounts cannot be connected to one PandaDoc workspace. To use multiple Stripe accounts, connect each to a separate workspace.

  • Stripe displays payment methods based on payer location (e.g., Klarna in the US, not in Latin America).

  • PandaDoc supports Stripe payment methods that allow recurring payments (e.g., cards, digital wallets, and bank debits).

  • Not supported: Real-time payments, cash vouchers, bank transfers (as a push payment method), and buy now/pay later.

If your workspace has the new document and template experience enabled, payment is configured as a Collect payment step in the workflow builder — not as a right-panel extension inside the document editor. Every document created from a template with this step will automatically include payment collection.

Set a default payment method

You can define the default payment method for your customers in two ways:

Workspace-level default

Go to Settings > Integrations > Stripe > Settings. Under Payment Method, choose between:

  • Dynamic (default): Automatically adapts to the customer’s device, location, and currency.

  • Pre-set: Manually choose supported methods (e.g., Credit card, Bank Transfer) — ideal if you want more control.

Document-level override

In the classic experience, you can override the preferred payment method per individual document or template. In the payment extension:

  • Click Advanced options

  • Under Connected Gateways, choose your preferred payment method:

    • Dynamic

    • Pre-set with one or more methods selected (e.g., Credit Card, Bank Transfer)

This allows you to customize the payment experience per document.

Connect your Stripe account to PandaDoc

Note: You can connect one Stripe account to several PandaDoc workspaces. Please note, in case you disconnect Stripe from one of the workspaces, it will be disconnected from other workspaces too.

You can connect Stripe:

  • From a template via the Collect payment step. In a template, select + Add step in the workflow builder, choose Collect payment, then follow the on-screen prompts to connect a gateway.

  • In a document by clicking vertical ellipses at the top-right > Document properties > Manage payments > toggle on Payments and select Connect next to Stripe

  • Via Settings > Integrations and API > Stripe > Connect and sign in to your Stripe account.

Note: Only the Account owner and users with an Admin or Manager role can connect payment gateways. Once connected, Stripe becomes the default primary payment gateway and applies to all new templates.


Set a default payment method

The workspace-level default works the same way as in the classic experience: go to Settings > Integrations > Stripe > Settings and choose Dynamic or Pre-set under Payment Method.

To override the payment method for a specific template, open the Collect payment step in the workflow builder, then select Edit next to Payment methods. Choose Dynamic or select specific methods from the list.

To override the payment method for a specific document, open the document, then select vertical ellipses at the top-right > Document properties > Manage payments > select Edit next to Payment methods. Choose Dynamic or select specific methods from the list.


Add a Collect payment step to your template

  1. Open your template. The workflow builder panel appears on the right.

  2. Select + Add step, then choose Collect payment.

  3. If Stripe isn't connected yet, follow the prompts to connect it.

Note: Make sure Stripe is in live mode before sending documents to real recipients. A warning appears if test mode is still active.

Under Payer roles, assign which role is responsible for payment. Select + Add Role to include additional payers if needed.

Note: If multiple payers are assigned, the document moves to Paid status when any one of them completes payment.

Set the Amount:

  • Custom — enter a specific value.

  • Auto — pulls the total from the quote builder blocks in the document.

Under Settings, configure:

  • Payment type: One-time (default), Recurring, or Installments. Learn more about installments and recurring payments with Stripe.

  • Due date: Upon document signing (default), or Net 7, Net 15, Net 30, Net 60, or a custom date.

Under Payment methods, confirm the correct method is listed. Select Edit to add or update payment methods.

Note: With Dynamic payment method selected, all payment methods enabled in your Stripe settings (and not requiring domain validation) will be available to your customers during checkout. Local payment methods (e.g., SEPA Direct Debit, ACH) are supported where applicable.


You need to ensure that the payment methods you need are enabled under the 'PandaDoc configuration' in the Payment methods settings.

(Optional) Select Stripe data mapping rules to map PandaDoc variables to fields in your Stripe account.


Testing Stripe integration

Test mode works the same way as in the classic experience. Go to Settings > API and Integrations > Stripe and toggle on Test mode.

Note: Any user on the account, regardless of their account role, can enable or disable Test mode.

To set up a test payment:

  1. Add a Collect payment step to your template workflow.

  2. Create a document from the template and send it to a test email address.

  3. Complete the signing flow and proceed to the payment step.

Use Stripe's test card numbers (e.g. 4242 4242 4242 4242) to simulate a transaction. See Stripe's documentation for the full list.

After completing a test payment, the payment step will show a "Payment has been processed in test mode" label. Test payments appear with a TEST label in the PandaDoc Payments dashboard and under Test mode in Stripe.

Once you're done testing, disable Test mode to start processing real transactions.


Send the document and collect payment

  1. Once you’re ready, send your document.

  2. When your recipient opens the document, they’ll be informed that an online payment option is available, at which point they can add the required information and select Finish at the top of the page. After this, the document status will change to “Waiting for payment.”

  3. To proceed to payment, your recipient can select Pay.

  4. Once payment is complete, the document status will change to “Paid.”

Important: If you're sending to an existing Stripe customer with the same email address, PandaDoc will not overwrite their payment method — a new customer record will be created instead. Set up data merge to match customer records.

You and your recipients will receive a confirmation email notifying you that payment is complete.

Storing payment methods for future charges

In certain cases, and with a recipient’s consent, payment details can be securely stored within Stripe. Two specific cases are:

  1. Manual subscription creation. If you obtain a customer's credit card information through the Billing details field, you can manually create a subscription and charge the customer later with their consent.

  2. Automatic subscription creation for recurring payments. When collecting payments for recurring products, or setting up a recurring payment with Stripe in the payment extension, our system automatically initiates a subscription for the specified product. This allows for automatic charges based on the contract term indicated in your quote.

In addition, you can use the Billing details field to store this information within Stripe and charge customers as necessary. You’ll need to ensure you collect the customer's consent as part of the process.

Some important notes:

  • One-time payments: Note that credit card and bank details (for ACH direct debit payments) are not stored within the customer record for one-time payments.

  • Pre-payments and installments: We currently don’t support pre-payments or installments, so storing payment details to charge the full amount later isn’t possible at this time. If you’d like to see this feature created, we encourage you to vote for it.

Collect payment information with the Card details field

The Card details field works the same way as in the classic experience. Add it to the document body in the template editor, assign it to the relevant recipient, and send the document. The recipient submits their card details, which are stored in Stripe for future charges.

To access your recipient’s payment information:

  1. Open your Stripe account and select “Customers” in the top panel

  2. Select the customer, then “Actions” in the top right

  3. From here, you can create either a subscription or one-time charge

Set up invoicing in Stripe

Stripe invoicing is available in the new experience. The workspace-level setup is identical — go to Settings > API and Integrations > Stripe > Settings and toggle on Create Invoice in Stripe.

To enable invoicing at the template level:

  1. Open your template and go to the Collect payment step in the workflow builder.

  2. Under Invoicing, toggle on Create Invoice in Stripe.

  3. (Optional) Enable Include tax amount in Invoice to apply taxes based on the payer's billing location.

Important: Invoicing is supported only with the Dynamic payment method. When invoicing is enabled, you can assign only one payer per document. If a secondary payment method (e.g., PayPal) is enabled, Stripe invoices cannot be generated.

All other invoicing behavior — tax calculation, line item handling, required contact fields, and limitations — is the same as described in the Set up invoicing in Stripe section above.

Troubleshooting

I’m unable to connect my Stripe account

If Stripe asks you to create a new account once you’ve set up the Stripe Checkout integration, this could be connected to your permissions in Stripe or the compatibility of your account with PandaDoc. Please contact Stripe support for assistance.

The payment methods I've set up are not visible to my clients on the checkout page

Ensure that the payment methods you need are enabled under the 'PandaDoc configuration' in the Payment methods settings.
