Note: The feature requires the new document creation flow and the Summary page to be enabled on your account. If you don't see this option, contact PandaDoc Support to check whether these features are enabled for you.
Schedule send lets you prepare a document at any time and have it land in your recipient's inbox exactly when you want — tomorrow morning, Friday afternoon, or any custom date and time you choose.
The document stays in Scheduled status until the send time arrives. You can reschedule or cancel it at any point before delivery.
Note: You can schedule a document up to 90 days in advance.
Schedule a document
Complete all steps in the document creation flow as usual.
On the final step (Configure delivery & settings), select the dropdown arrow next to the Send document button.
Choose Schedule send from the dropdown menu. You'll see two quick-pick options: Tomorrow at 9:00 AM and Monday at 9:00 AM, or Custom time.
Note: The timezone of the Sender is used for scheduled sends.Select Tomorrow at 9:00 AM to use the preset, or select Custom time to choose your own date and time.
If you selected Custom time, use the calendar picker to set the date, then choose a time slot from the time dropdown (available in 15-minute increments).
Select Schedule send. You'll land on the document summary page, and the document status will change to Scheduled.
Manage a scheduled document
Once scheduled, you can take the following actions from the document summary page:
Send now — dispatches the document immediately without waiting for the scheduled time
Edit schedule — change the scheduled date and time
Cancel — cancels the scheduled send and returns the document to Draft
Note: While a document is in Scheduled status, its content is locked and opens in view-only mode. To make edits, cancel the schedule first — the document will revert to Draft automatically.
How scheduling works with document settings
Reminders are calculated from the scheduled send date, not from when you created the document.
Expiration is counted from the scheduled send date, so scheduling a send also shifts when expiration kicks in.
Signing order: the schedule applies to the first signer. Subsequent signers receive the document in sequence after the first signer acts.
Email notifications
By default, as a document sender you'll get an email notification each time a scheduled document is successfully sent — and if the scheduled send fails for any reason. To turn off both notifications, go to Settings → Notifications and uncheck Document is sent as scheduled.
If a scheduled send fails, the document automatically returns to Draft. The failure reason is included in the notification email and is also visible in the document timeline under the Schedule failed event.
Finding scheduled documents
Home page: scheduled documents appear under the Scheduled tab (second position, after Drafts). Hover over a document to see the scheduled send time.
Document list: filter by Scheduled status to find all pending scheduled sends.
Limitations and availability
Bulk Send does not support scheduled sending at this time.
Scheduling via the PandaDoc public API is not currently supported. If this is something you need, contact support — customer demand helps us prioritize it.
