Sending & Managing Documents
At PandaDoc, we strive to make creating, sending, and managing your documents as seamless as possible. I’m excited to share a few features and processes to help save time and maximize productivity for you and your team.
Let’s assume you’ve added all of the content to your document, have all recipients added, have the assigned necessary fields, and are ready to send your document for signature.
There’s a few key features to remember as you send and manage your documents.
We will review the following:
- Sending documents
- Managing reminders & the expiration date
- Duplicating documents to reuse later
- Converting a document to a template
Sending Documents & Managing Reminders
There are three options available to send your documents:
Sometimes emails can get ‘lost’, and someone may need a follow-up email to remind them of a task that needs to be completed. PandaDoc allows you to send a reminder notification to the recipient if needed.
To send a reminder to your recipient, click ‘Manage’ in the upper right-hand side of the document, and then click on the recipient to whom you need to send the reminder.
Once there, click the ‘Send reminder’ button to send a new email to the recipient. You will then receive a confirmation that the reminder has been sent.
It’s possible to set up automatic reminders for individual documents and on the Template level. This is available with accounts on our Business and Enterprise plans. We recommend setting up automatic reminders at the Template level so that all documents will inherit the reminder settings.
Along with reminders, you can also set specific settings for document expiration. For our Free and Essentials plans, the expiration is 60 days for all documents and cannot be changed. Auto-expiration settings can be adjusted for accounts on our Business and Enterprise plans.
Expiration and reminders can both be adjusted in document settings, and both can be changed before and after a document has been sent:
Duplicate & Save as a Template
If you have a document you will reuse a few times, you may decide to duplicate the document. To duplicate a document:
- Navigate to the Documents tab
- Hover the cursor over the Document you want to duplicate
- Click on the three vertical dots
- Click Duplicate
If you have a document that you would like to multiple times, then you can convert it into a Template for reuse:
