PandaDoc Forms: Employee Time Sheets
PandaDoc Forms is one of our newest features that allows you to Collect data quicker and automate your workflow.
In this use, we will be creating a Form for Employee Timesheets. Creating a Form, of course, starts with creating a PandaDoc template - these can be uploaded or editable templates.
But, with timesheets, not only does the direct manager need to be aware of the employees’ time, payroll would need to get a copy. With the use of Roles and pre-assigning one role, we can ensure that payroll will get a copy as soon as both the employee and manager signed off on the timesheet:
Next, let’s create the form. In the left toolbar, click on the Forms icon, then ‘Create Form’ and search for the template you would like to use.
When the Form loads and you’re ready, click on ‘Publish’ then ‘Get code.’
From here, you can either provide the direct link to the Form to employees or have the form embedded on your companies intranet.
And now, everything is ready to go. The Employee will click on the link, fill out the collection section - including their manager:
And then continue to the timesheet. Once they are done and click ‘Finish,’ their manager is notified via email. The manager can then review and sign off on the document. At this point, when the manager clicks ‘Finish,’ a completed copy will be available for the employee, manager, and sent to payroll.
Updates to Forms:
- Field naming for CSV export file - now each field of a form is supplemented with a new property “Field ID”. Here user can provide a value that will be used for generating the header of a CSV file with form data. Help article is on the way.
- Auto-numbering documents generated via a form - user can apply a sequence to a form, just like it currently works for templates, and all the documents generated with such form will be auto-numbered within the sequence.
- Pre-fill field names via embed.js - user can pre-fill form fields with values in corresponding parameters in the embed.js file. Please, read our Help Center Article for more detail.
- New version of Zapier integration (v 2.0.0) - now forms are supported in Zappier integration. Visit the Help Center for more info on how to use Zapier with Forms.
