When you’re about to send out an important document you want to make sure that everything is good to go prior to sending, which is why I’ve created a checklist to make sure everything is accounted for before sending it to your customer… because nothing is worse than having to go back and edit/make changes when they should have been there in the first place. Here are some key items to check before sending out your document!
✅ Assign all fields and fill in tokens
The first thing I do before sending a document is to make sure that all fields are assigned to the correct role and that I’ve filled in the correct tokens. The good news is that PandaDoc won’t let you send a document before assigning fields and filling in tokens but I always like to double-check and make sure it is good to go so that my document recipient knows exactly what they are responsible for completing.
✅ Expiration date & auto-reminders
Before you send out your document it is important to make sure you have added the correct expiration date and set auto-reminders. Auto-reminders are my favorite simple feature within PandaDoc. By applying auto-reminders to help manually follow-up off my plate and allows the recipient to not forget about the documents. When sending many documents it can take a lot to keep track of and as much as I love lists, I also love that PandaDoc eliminates having to make a follow-up checklist.
✅ Document & signature forwarding
Are you sending a document to a customer that has multiple stakeholders that could sign? Or are you not sure who is responsible for signing? I always like to turn on the document forwarding and signature forwarding just in case. That way I can avoid the recipient coming back and asking me to edit the document for a different signer.
✅ Update your document title
The last thing I do before sending my documents I ALWAYS double-check the title. The last thing I want is for a customer to have a title that has an incorrect title. I also want to make sure that it is in a format that makes it easy to be able to search within PandaDoc. Below is the format that I typically follow.
Title format: Type of Document | Customer’s Name - Date (if needed)
Example: Renewal Proposal | ABC Company - July 2020
These are four simple things that if checked before sending out can make your life so much easier and eliminate unnecessary edits.
