When your recipient clicks on a signature field, they can choose how they want to sign (Type, Draw, or Upload) depending on your Recipient experience settings setup. Under the Type tab, PandaDoc automatically pre-fills a value to save time.
By default:
If the recipient does not have a first and last name saved, PandaDoc will use their email address as the placeholder.
If the recipient has a first and last name saved, PandaDoc will pre-fill their full name instead.
This is only a placeholder – your recipients can still delete it and type their own name. They can also use other signature types available to them to either draw their signature or upload an image of their signature.
How can the recipient change the placeholder?
When signing, the recipient can:
Click inside the signature field.
Go to the Type tab (if enabled).
Delete the pre-filled email.
Type their full name or switch to Draw or Upload.
Click Accept and sign.
How to prevent the email placeholder in future documents
To ensure the recipient’s first and last name appears instead of their email, make sure their PandaDoc contact record includes their full name.
Option 1: Add/update the contact
Go to Contacts in PandaDoc.
Search by email.
Open the contact.
Enter First name and Last name.
Save.
Once updated, future documents sent to this recipient will display their full name in the Type signature option by default.
Tip: You can also enter the recipient’s name when adding them to a document – this will auto-create or update the contact.
Option 2: Disable the “Type” signature option
If you don’t want recipients to type their name (and only draw or upload a signature), you can disable this option in your settings.
Go to Settings > Recipient experience.
Under Signature types, uncheck Type.
Click Save changes.
With this setting disabled, recipients will no longer see the Type tab and will only be able to draw or upload a signature.
